Most of a reconciliation is matching. Bank lines to ledger lines, card charges to receipts, schedules to the GL. On a small team that eats the first days of close, and the real exceptions get looked at last.
What Flux Runs Each Period
- Bank recs for every account. Statement balance to GL balance, with outstanding checks and deposits in transit listed by date.
- Card recs by cardholder. Statement charges matched to recorded expenses, with missing receipts and odd coding flagged.
- Balance sheet rec tie-out to the GL. Prepaids, accrued liabilities, payroll liabilities and clearing accounts, each with a schedule that ties to the trial balance.
- Prepaid amortization schedule. New prepaids added, this period's release calculated.
- Aged reconciling items. Anything open over 60 days, listed with its history.
- Open-questions list. Unmatched items the files can't explain.
What Your Team Keeps
- Signing off each rec as reviewer.
- What to write off and what to chase.
- Coding calls on ambiguous card charges.
- Posting any adjusting entries.
What We Need From You
| Item | Detail |
|---|---|
| Bank statements | PDF or CSV for every account, period end |
| Card statements | The card statement or your card program's transaction export |
| GL detail | Cash, card liability and balance sheet accounts for the period |
| Trial balance | Period end |
| Prior period recs | So we keep your workpaper layout and carry open items forward |
| Subledger reports | AR and AP aging, plus the fixed asset register if you keep one |
| Time from you | About 20 minutes to send files, then about an hour to review |
What You Get Back
You get a workbook with one tab per rec, each tied to its GL balance, plus the exceptions list. For the free run on a closed period, that arrives within one business day of complete files. Unmatched items come back flagged. We don't plug a difference to make a rec tie.
What It Looks Like
Illustrative, with sample numbers, not a client engagement.
The operating account statement shows US$412,380 at month end, and the GL shows US$399,055. The rec lists three outstanding checks totalling US$18,600 and one deposit in transit of US$5,200. That leaves the GL US$75 higher than the adjusted bank balance. It matches a bank fee on the statement that never hit the ledger, so the rec proposes an entry to bank charges. A US$2,400 check open since January goes on the aged-items list for your call.
Common Questions
Do you need access to our bank portal?
No. Statements you download and send are enough. We don't log in to your bank or your ledger.
What happens to differences you can't explain?
They stay on the rec as unreconciled, with a note on what we checked. Your team decides what happens next. A rec that ties because someone forced it is worse than one that shows a gap.
Is our bank data used to train models?
No. We use business-grade AI services that don't train on client data. Everything sits under a mutual NDA. Files are deleted within 90 days after the engagement ends.
